SharePoint Interview Questions

SharePoint Interview Questions

1. What is SharePoint?
SharePoint is a web-based collaboration platform from Microsoft that integrates with Microsoft Office. It enables document management, content sharing, and collaboration. SharePoint can be deployed on-premises (SharePoint Server) or as a cloud service (SharePoint Online) via Microsoft 365.

2. What are SharePoint lists and libraries?

SharePoint lists are tables that store structured data in rows and columns, similar to a database or spreadsheet. Libraries are specialized lists designed for storing and managing documents and files, offering enhanced document management features.

3. What is the difference between SharePoint Online and SharePoint On-Premises?

SharePoint Online is a cloud-based service with lower upfront costs, automatic updates, and seamless integration with other Microsoft 365 tools, managed by Microsoft. SharePoint On-Premises offers full control, customizability, and is hosted on an organization's own servers but requires significant upfront investment and manual updates.

4. How do you manage permissions in SharePoint?

Permissions in SharePoint can be set at the site, list, library, or item level and assigned to users or groups with roles such as Read, Contribute, or Full Control. By default, permissions inherit from parent sites, but inheritance can be broken for unique permissions. Regular audits ensure compliance with security policies.

5. What is a SharePoint site collection?

A site collection is a top-level container that holds multiple SharePoint sites and subsites, sharing a common database and administrative settings. It offers centralized control for managing permissions, content, and settings across related sites, facilitating scalability and organization.

6. What are SharePoint workflows?

SharePoint workflows automate business tasks such as document approval, task assignments, or status updates. Created using Power Automate or SharePoint Designer, workflows enhance efficiency by automating routine processes.

7. How can you customize a SharePoint page?

SharePoint pages can be customized using built-in tools to modify layout and add web parts for displaying content or interactive elements. Advanced customization is possible using SharePoint Designer or custom coding with the SharePoint Framework (SPFx).

8. What is the difference between a SharePoint site and a sub-site?

A SharePoint site is a standalone entity for managing content and collaboration, while a sub-site is nested under a parent site, inheriting its permissions and settings. Sub-sites help organize content hierarchically but are dependent on their parent site.

9. How can you integrate SharePoint with Power Automate?

Power Automate allows automation between SharePoint and other services. For example, you can create a workflow that sends an email when an item is added to a SharePoint list. Using the SharePoint connector, you can set triggers (e.g., "When an item is created") and define actions (e.g., email notifications or updating list items).

10. What are the benefits of using Power Apps to build custom forms for SharePoint lists?

Power Apps offers custom user interfaces for SharePoint forms with:
   - Tailored UI: Create responsive and user-friendly forms.
   - Enhanced functionality: Add complex logic and validations.
   - Integration: Connect with other Microsoft services for a unified solution.

11. What is the purpose of the SharePoint Recycle Bin?

The SharePoint Recycle Bin provides temporary storage for deleted items, allowing users to recover files before permanent deletion. It consists of two stages: a user-initiated stage and a secondary stage for site collection admins to retrieve content within a retention period.

12. What is the SharePoint search service?

The SharePoint search service indexes content and metadata across SharePoint sites, lists, and libraries, enabling users to locate information quickly through powerful search queries and refiners. This enhances productivity by simplifying the retrieval of relevant data.
